🔢 1. What’s your MOQ? (Minimum Order Quantity)
This is a biggie. Most CMOs won’t custom formulate under 5,000 units. Why? Because raw ingredients come with their own MOQs — and that lavender peptide active you love might only be sold in 20kg drums. We can sometimes go as low as 2,500 units at Tropical Labs, but it all depends on the formula, packaging, and other factors. It’s a discussion.

If you want or need an expiration date, your product must go through stability testing in its final packaging. For OTCs, this includes 3 months of accelerated testing, plus up to 2 years of real-time data to confirm a shelf life claim.

🧫 STAGE 4: Formula Development & Confirmation
If you’re going custom — either a full build or a tweak to a stock formula — this is your hands-on phase. Formula development typically takes 4–12 weeks from the time we finalize your manufacturing contract.
- 🧾 After contract execution, we produce up to 3 sample versions per round (sampling fees apply)
- 🚚 Samples are shipped using your FedEx account — or we can create a shipping fund (usually $50) to cover charges
- 🗂️ Each sample is accompanied by a Sample Transmittal Form, which documents the version, batch number, and formula notes
📌 Tracking your samples: Why tracking samples is important. You’ll likely evaluate several iterations. Clear documentation ensures that you and we are always referring to the same sample. This protects you and streamlines approvals.

🌺 STAGE 5: Fragrance Selection (Optional)

🧪 STAGE 7: Stability Testing
With your formula locked in, it’s time for a final chemist review and stability testing to ensure your product remains safe and effective over time.

🎨 STAGE 8: Artwork & Design
Get ready to bring your brand to life visually! This is where your baby shines! IT’S ALL ABOUT THE BRANDING!

- ✅ You’ll approve final artwork through an art match form before we print your labels
- 🖼️ If you already have branding and labels, send us your brand guidelines and design files

🧪 STAGE 9: Pre-Production Sample and Final Authorization
Before we begin full production, we send you a pre-production sample showing exactly how your final product will look, feel, and perform. This is the time to make sure that your final product is everything you want. All the little details need to be reviewed and confirmed.
- ⚖️ Confirms fill weights and component compatibility
- make sure your fill weight looks the way you want it to in the packaging. You may have a 2oz fill volume but it doesn’t go all the way to the top of your bottle and looks short filled. You will need to either change your fill volume or confirm the one that looks short filled.
- Test the dispensing of the product. Too many times there are unseen issues.
- how many pumps does it take for product to dispense? Especially if it’an airless pump.
- Does the spray pattern work for your product.
- does it leak?
- Have you tested shipping the product? Ship it. Test it.
- This is your last opportunity to request changes.
- 🛑 Changes at this stage may require repeating stability testing
✅ Approval locks the project and the Bill of Materials (BOM) is created. Everything we do from this point forward ties back to the BOM.
📝 Two approvals are required — one from the client, and one from the CMO. Once both are in, we’re ready for your production order.
